European Business Trips: Visa Rules Explained

Having to travel for business can be both exciting and, at the same time, confusing – especially if you're headed to one of the countries in the Schengen area.
Countries all over the world have differing rules regarding who can come, who can go, and how long visitors can stay. Many popular countries in Europe share the same Schengen visa requirements.
There are 29 countries in the Schengen zone, and those include significant financial hubs like Paris, Zurich, and Amsterdam.
Whether you have a new job and need some on-site training, or you need to head abroad for any other work-related reason, making sure you fulfill the entry requirements is absolutely crucial.
When you need a visa for a business trip
Not everyone needs a visa to travel to the Schengen area for a business trip. That said, millions of people do.
The deciding factor isn't where you live or what you do–it is your nationality.
US and UK citizens, for example, don't need visas for short business trips to the Schengen area (think conferences, business meetings, or company retreats).
Before you book your tickets, check on the official embassy website of your destination to see whether or not you need to apply for one. Indian and Chinese passport holders, for example, require a visa before traveling to any of the countries in the zone.
Keep in mind that this all refers to short business trips (under 90 days in length). If you're hoping to stay longer, establish residency, or do 'regular work' day in and day out, you will need a different visa altogether.
The requirements you need to fulfill
Visa requirements for the Schengen area are pretty simple. While the list is straightforward, the criteria aren't flexible. The following rules are strict and apply to all applicants across the board.
Financial sustenance
All visa applicants have to prove that they can support themselves (financially) while visiting Europe.
If you're traveling for work, the company that you work for might be financing your trip. During the visa application process, you can show that your trip is sponsored. There will be different forms of proof that you need to present.
Accommodations and flight itinerary
You'll need to show authorities that you have somewhere to stay during your trip, as well as your flights/travels to and from the Schengen area.
Typically, this comes in the form of a hotel booking and your airline reservation confirmation.
Passport and visa photo
All Schengen visa applicants must have a valid passport/travel document issued within the past three years, with a minimum of three months' validity remaining (from the date of departure from the Schengen area).
Additionally, you'll need to submit a visa photo with your application. It also needs to adhere to specific requirements.
Schengen travel insurance
All visa applicants have to take out a travel insurance policy that meets Schengen visa requirements. A policy meets requirements when it offers a minimum of €30,000 in emergency medical costs, repatriation, and covers you across the entire zone for the entire duration of your trip.
Biometrics and proof of payment
The Schengen area requires that all visa applicants have their biometrics (fingerprints) collected at the time of application submission. This usually happens at a visa application center in your country of residence, or a consulate if a visa application center doesn't exist. Generally, you'll need to book an appointment well in advance.
At your visa appointment (though sometimes before), you will need to pay the necessary visa application fees, as well as any additional service fees that apply to you and your situation.
Without your biometric information and payment submission, your application won't be submitted for processing.
A few notes
Keep in mind that all of these requirements need to be met before you get a visa. While this can seem counterintuitive when it comes to things like booking your flights and getting your travel insurance, it really is required for visa appointments.
When you apply, the visa application center or consulate will give you an official checklist to prepare your visa application. Always follow this checklist closely.
